At St. Edward's University, individual student supervisors play a key role in the hiring of student employees.
Student supervisors can post student positions, generate student hiring paperwork, and approve student timesheets. Below is information to help assist student supervisors when hiring a student employee.
Policies
General information regarding the policies specific to students employed by St. Edward's can be found in the student employment and general employment policies. In addition to the information and policies stated in the Employee Handbook, student employees of St. Edward's have specific policies pertaining to their employment. Any discrepancy between the information found between the Employee Handbook and the policies outlined for student employees is resolved in favor of the student employment policies.
Student Supervisor Resources
Job Description and Funding
- The hiring manager must determine position funding in consultation with the budget manager responsible for the organization hiring student workers.
- Budget manager should inform the hiring supervisor of the available (budgeted minus spent and encumbered) student wage budget.
- The supervisor must consider the available budget and determine if the position funding is sufficient for a work-study ineligible student or for work-study eligible students when/if the work-study award is exhausted.
- Determine the position location: off-campus organization (e.g., Breakthrough Austin, Lifeworks), off-campus university locations (e.g., Wild Basin), or on-campus. If off campus organization, no further actions should be taken without consulting the Career and Professional Development Office to determine eligibility of the off-campus organization.
- Departmental supervisors should review the available job description matrix and select the template that best aligns with the position.
- Update the editable regions of the approved template based on the unique skills, required experience, or developmental opportunities of the position.
- Identify the correct pay classification for the position template.
- Review the pay classification, desired work hours per semester, and the budget report provided by the organization’s Budget Manager to determine position type.
Posting a Job
All student positions are posted through . Within Hilltop Careers, a student supervisor will be able to post a student position, edit a position, close a position or re-post a student position.
Access to Hilltop Careers:
If you are a student supervisor, or hiring manager for student employment positions within your department, and do not have access to Hilltop Careers as an employer, you will need to sign up for an employer account. Because Hilltop Careers is accessible to students, alumni and employers alike, there are different methods for creating an employer account, depending on whether or not you already have been assigned a student or alumni account. All current and previous students of the university have already been assigned a student/alumni Hilltop Career account. Student Hiring
Evaluation and Offering Employment
- The hiring manager completes the review of ³¦²¹²Ô»å¾±»å²¹³Ù±ð’s materials.
- The hiring manager selects the most qualified candidate(s).
- The hiring manager contacts the students to extend an offer of employment, discuss accurate start date and expected hours to work each week.
Work Study Funding
Supervisors should ask the student:
- Do you have Work Study?
- Yes. How much do you have? A student can obtain these amounts via myHilltop View/Accept Financial Aid Award. Proceed to hire if the student has been offered or accepted.
- No. Did you do the FAFSA? – if Yes, send the student to Student Financial Services to check their eligibility, or email ahinosa@stedwards.edu (or new report).
To verify a student is eligible to work on campus and initiate the student hiring process, student supervisors will need to complete the steps below:
Generate Hiring Paperwork
- Go to myHilltop and locate the task
- Run Argos Report (Student Employment Details) to check for student employment eligibility
- Offer letter will generate based on fields completed in Argos
- Review paperwork with students and retrieve signature
Submit Student Employment Request
- Fill in required fields on the using the Argos report information
- Determine New Hire, Rehire, or Rehire with Changes
- Use an accurate Start Date and End Date
- Attach documents
- Signed Offer Letter
- Argos report (Student Employment Details Page)
- Allow up to 5 days for processing between Human Resources and Payroll.
- The student must complete their new hire document (I-9 form, W-4, Payroll Payment Form, Background check) see student Onboarding with HR for more information.
- Hiring manager receives notification from Human Resources that paperwork has been completed and the student can begin work.
- The hiring manager schedules the student working hours in accordance with the Student Employment Policy.
- Supervisor will receive a notification when the time sheet is available for the student to begin recording hours worked.
Rehire, Changes and Termination
Student employees are automatically termed from their position(s) at the end of the academic year or summer semester and need to be Rehired if they are returning to work. (See above Submit Student Employment Request.) A rehire can be completed with changes, i.e., new classification, new rate, or returning to the same position with no changes.
To separate a student employee earlier than the end of the semester, complete a Student Employment Change Notice
For any change to a student’s employment, complete and submit the Student Employment Change Notice found on myHilltop. Use for:
- Terminations
- Pay rate changes
- Working title changes
- New supervisor
- Fund or Activity Code Corrections
- Work-Study Funding to Department Funding Changes
- Department Funding to Work-Study Funding Changes
Review Student Timesheets
To ensure payment for time worked, student supervisors should review student timesheets on a bi-monthly basis and verify that the information reported is accurate.
